Before your adventure.

Clear arrangements for booking, preparation and time in the mountains. These terms explain how A&S Expeditions handles adventure requests, payments, changes and cancellations.

1. Getting in touch and requesting a place

Contact A&S Expeditions at info@asexpeditions.com. An enquiry, registration request or automated acknowledgement is not a confirmed booking. Requests are subject to availability and suitability for the activity.

Before you commit, we will provide the adventure details, total price, what is included, the service provider’s identity and any specific conditions. A booking becomes confirmed when you accept those details and we send an explicit booking confirmation. A pending request or an internal booking status alone does not replace that confirmation. Keep a copy of the terms supplied with your booking; later website changes do not alter an existing agreement without your consent.

2. Prices and payment

Prices are in EUR and apply per person unless expressly stated otherwise. Your written offer will show the total amount payable, including any applicable taxes and unavoidable charges payable to us. Optional extras and costs payable directly to third parties will be identified before confirmation. No payment is collected through the website.

No deposit; full payment by the method in your confirmation is due seven calendar days before the activity begins. Bookings accepted within seven days require payment at confirmation. If payment is late, we will contact you and give a reasonable deadline before cancelling the reservation. Do not send card details through the enquiry form or by email.

3. What your adventure includes

The event description and written confirmation specify the activity, dates, meeting point, duration, group size, equipment and included services. Travel, accommodation, meals, lifts or cable cars, parking, insurance and personal expenses are included only when expressly listed. Do not assume that every adventure has the same inclusions.

Routes, timetables and summit objectives are plans, not guaranteed outcomes. Duration may vary with conditions and group progress. Please ask about any essential requirement before confirming your booking.

4. Experience, fitness and preparation

Choose an activity that matches your experience, fitness and comfort with exposure. “Beginner-friendly” does not mean risk-free or suitable for everyone. Read the trip-specific requirements and give accurate information about relevant experience and needs. If uncertain, contact us before booking.

Tell us privately about a condition, injury, medication effect or access need only where it is relevant to safe participation. Do not put medical details into the public enquiry form. We will discuss an appropriate way to share necessary information with the person leading your activity. Inform us if your circumstances change before departure.

If a participant is under 18, contact us before requesting a place. Participation, suitability, supervision and parent or guardian arrangements must be agreed in writing for the particular activity.

5. Mountain risks and participant responsibilities

Climbing, via ferrata and hiking involve inherent risks, including falls, rockfall, slips, changing weather, exposure, equipment misuse and difficult or delayed rescue. Preparation, equipment and professional judgment help manage these risks but cannot eliminate them. A route, summit or risk-free experience cannot be guaranteed.

Arrive at the stated meeting point on time, with the clothing, footwear, food, water and personal equipment specified for the trip. Follow briefings, use equipment as instructed and tell the guide promptly about damaged equipment, fatigue, discomfort or uncertainty. Do not participate while impaired by alcohol or other substances. Respect other participants, wildlife, access rules and the mountain environment.

The leader may change the route, turn the group around or stop an individual’s participation when reasonably necessary for safety. Any financial consequences will be assessed fairly in the circumstances; stopping participation does not automatically remove all refund rights.

6. Equipment

Where equipment is included, the event details will explain what is provided. Inform us in advance about sizing or fit concerns. Ask for help if you are unsure how equipment should be used. Personal equipment must be suitable for the activity and may be declined if its condition or compatibility is uncertain.

Use supplied equipment with care and report loss or damage promptly. There is no automatic replacement charge for normal wear. Any claim for loss or damage will take account of responsibility, the circumstances and the equipment’s actual value.

7. If you cancel

Email info@asexpeditions.com as soon as possible. The time your message reaches us determines the notice period, measured backwards from the scheduled start time in the destination’s local time. We will acknowledge your cancellation.

Standard refunds: at least seven full days before the start, 100% of the activity price; less than seven days but at least 48 hours before the start, 50%; less than 48 hours before the start or a no-show, no standard refund.

These charges are maximum amounts, not automatic penalties. We will reduce a charge to reflect costs saved, a replacement booking and any amount that would exceed our reasonable net loss. Mandatory consumer rights always apply. A suitable replacement participant may be accepted by prior agreement without a transfer fee, subject to activity requirements and any evidenced, unavoidable third-party costs explained beforehand.

8. If we change or cancel your adventure

Weather, terrain, closures, the condition of the group or other operational circumstances may require changes. We will explain material changes as soon as reasonably possible. Where a minimum group size applies, it must be disclosed with the decision deadline before you book; we will not introduce a new minimum afterwards.

If we cancel before the activity starts, you may choose an available alternative date or a full refund of the affected activity price paid to us. You do not have to accept a voucher. If a material change before departure substantially changes the agreed experience, you may accept it or cancel the affected booking for a full refund.

If an activity has already begun and must be shortened or stopped, we will assess an appropriate refund for services not supplied, taking account of the circumstances and your statutory rights. A safety decision alone does not automatically mean either a full refund or no refund.

Refunds approved under these terms will be initiated within 14 days, normally using the original payment method. Bank processing may take additional time. Separate travel or accommodation contracts remain subject to their own terms; this does not exclude any compensation or other rights that the law gives you.

9. Guides and local arrangements

A&S Expeditions works with professional guides from different companies across our operating regions. The provider and relevant arrangements for your adventure will be identified before you commit. Working with a partner does not, by itself, remove any responsibility we have under your contract or applicable law.

10. Insurance and emergencies

Check that your personal insurance covers your destination and planned activity, including any relevant climbing or via ferrata grade, mountain rescue, medical treatment and repatriation. Ordinary travel insurance may have activity exclusions. Insurance is not included unless expressly stated.

Follow the leader’s emergency instructions. In an immediate emergency, use the local emergency service rather than the website or email. Rescue availability and response times depend on location and conditions. Necessary participant information may be shared with emergency services when legally justified.

11. Responsibility and your rights

We will perform the services for which we are responsible with reasonable care and skill. Participation involves accepting the inherent nature of mountain activities; it is not a blanket waiver of claims. Nothing in these terms excludes or limits liability that cannot lawfully be excluded or limited, including applicable rights relating to personal injury, negligence, deliberate wrongdoing or defective services.

These terms do not reduce mandatory consumer rights. Any applicable statutory cancellation, withdrawal, remedy or compensation right takes priority over the standard arrangements above. We do not select an exclusive foreign court or remove protections that apply in your country under mandatory law.

12. Photographs and personal information

Participation is not automatic permission to use an identifiable photograph of you for marketing. Promotional use requires a separate, optional agreement where required. Saying no will not affect your booking. Ask other participants before photographing or sharing identifiable images of them.

We use booking information to handle your request and organise the activity as explained in the Privacy notice. Please share these terms and the trip information with everyone in a group booking; the group contact should only provide information they are authorised to share.

13. Questions and complaints

Raise a concern with the leader promptly during the activity when it is safe to do so, so there is an opportunity to address it. You can also contact info@asexpeditions.com with the booking reference, dates and a description of the issue. We will investigate and respond without undue delay. Reporting an issue later does not automatically extinguish your legal rights.
